Overview
Use of FSP Training Hub for progression through courses is required to get the most complete dataset for reporting on logbook categories. This process requires the permissions required to view and built reports. If you do not have this access in FSP, please speak with an admin at your school/organization.
Why It Matters
Maintaining an up-to-date logbook is critical for both compliance and career development. As an official record, it verifies flight time for licensing, ratings, and regulatory audits. Employers and airlines also rely on logbooks to confirm a pilot's experience and professionalism, making accuracy essential for advancement. Beyond career progression, accurate records help pilots track currency and proficiency, ensuring they remain qualified and safe to fly. In the event of an accident or insurance claim, a logbook provides legal documentation on proper qualifications. Ultimately, it is not only a legal and professional requirement but also as a personal record of progress and achievement throughout a pilot's career.
Steps to Build Report
Use the Student Progress Detail report in FSP Reporting:
Access Reporting: Log in to Flight Schedule Pro and go to reporting.
Select Report Type: Choose "Flight/Class Details".
Configure Parameters:
Include Fields (additional as desired): Flight Date, Customer 1 Name, Customer 2 Name, Hobbs (Total)*, Tach 1 (Total)*, Air Time (Total)*, Flight Time (Total)*, Instructor, Total Ground Instruction, Total Flight Instruction. *Depending on flight training regulations typically only 1 total needs to be included
Select Data to Join: Choose “Reservation Detail (from Flight/Class Detail)”
Configure Parameters:

These are recommended data points to include to identify potential missing unlogged sessions and confirm total time logged.

Actions to Take
Once the report has been built and you have the data needed for the LogTen import, export the report in FSP to an Excel file.
Prepare the File for Import:
Following these guidelines will ensure that your data is imported into LogTen smoothly. You're free to use just about any spreadsheet program you'd like to prepare the file (e.g. Numbers; Excel; LibreOffice; OpenOffice; etc.)
Your file should have no blank rows or total (summary) lines between your entries.
XLSX files with data on multiple sheets (e.g. a different sheet for each month) should be consolidated to a single sheet to allow for all data to be imported in a single action.
Make sure that your formatting is consistent throughout the file; e.g. your dates and times are formatted the same for each flight; your times are all either UTC or local; etc.
There should only be one column per data type in your file.
An example of this would be separate columns for Aircraft Types and Simulator Types; in preparing your file, you'll want to combine these into a single Types column that lists both actual aircraft and simulators. Be sure to use distinct types for aircraft and simulator entries, such as “C172” for the aircraft and “C172 SIM” for the simulator.
Another example is to have separate columns for the date and times. Instead of having a single Date/Start/Out column like "09/01/10 12:56", separate the Date from the Out time into two columns (there is often a function in the spreadsheet editor for this). If only the Out time is available and the In time is missing, please remove the Out time entirely and import only the Total Time.
3. Save your File as a CSV
Once your data is ready for import, convert the file to a CSV (comma-separated value) file. Most spreadsheet programs have an option for direct export of your data to a new CSV file.
When saving to CSV, you may be prompted to select a character set; make sure that Unicode UTF-8 is selected before saving.

NOTE: If using LogTen for iOS, you can send your file to [email protected] to our Data Team, along with the following information:
If your Out/Off/On/In times are in UTC or Local
If you currently have any entries in your logbook, or if your LogTen is empty.
Best Practices
Utilize Training Hub to access session data.
Ensure instructors are timely and correctly logging sessions to provide accurate data.
Things to Consider
If a session was logged directly from the “Lessons” page of a student’s course enrollment and independent of a reservation, it may not reflect on the report.
The reservation may not have all hours allocated into logbook categories correctly.
Please ensure that time logged in the Pre/Post category on a gradesheet is also logged in as Ground Instruction when checking in the reservation.
For example, if 2.0 hours were logged on the graded session in the category “Pre/Post”, 2.0 hours of Ground Instruction need to be checked in on the reservation in order to capture the time correctly on the report.
